This event is designed to connect students, staff and community members with vital social services, mental health support and community resources. 

PHSC would be honored to have your organization share information about your programs and services through a resource table or informational materials. The Resource Fair provides an excellent opportunity to:

  • Increase awareness of your agency’s services
  • Build partnerships with PHSC students, faculty, and staff
  • Engage directly with individuals seeking support and community connections
  • Develop a resource list for students in need of services.

Exhibitor Application and Terms and Conditions for Attendance at Pasco-Hernando State College Events

Pasco-Hernando State College (PHSC) invites you to apply to vend crafts, merchandise, promote your business or non-profit at PHSC events.
 
PHSC thanks you for your interest in becoming an Exhibitor at a PHSC event. This application must be completed for consideration by PHSC. Any Exhibitor will need to comply with the terms and conditions which include a Waiver of Liability and Hold Harmless Agreement as set forth herein and will be required to sign a copy of the Terms and Conditions and Waiver of Liability on the day of the event. Exhibitors may be subject to the requirement of producing a Certificate of Insurance.

Terms and Conditions
  1. All Exhibitors will be provided a set-up time and a take-down time via email by the PHSC event coordinator.  All Exhibitors must adhere to those times provided by PHSC for the event.  For example if the set up time is 7:00 a.m., the Exhibitor must be present and set up by that time;  if the take-down time is 3:00 p.m., the Exhibitor must be cleaned up and ready to leave the event area and shall not leave the event prior to the take-down time so that it will not interrupt the event.  
  2. At the written request of the Exhibitor, PHSC will provide a 6-foot table and two chairs for use by the Exhibitor at the event and will be available by the set-up time.
  3. Exhibitors may bring a tent, but the tent shall not be bigger than 10’ x 10’.  If the tent has a logo or graphic on it, the logo and graphic must be preapproved by the event organizer.  The tent logo or graphic should be limited and related to the Exhibitor’s services or products and not promote tobacco,  alcohol, or drug use and must adhere to the PHSC policies.
  4. Parking shall be provided for Exhibitors in designated areas and that information will be provided to Exhibitors by the PHSC event coordinator.
  5. All garbage and trash generated by the Exhibitor must be properly disposed of by the Exhibitor.
  6. Neither Exhibitors nor their workers shall sell or solicit outside of its designated space and a representative of the exhibitor must be available at all times at their designated space.
  7. Exhibitors are prohibited from canvassing or providing political information. 
  8. Exhibitors must comply with all Pasco-Hernando State College Board Rules and policies. For example, Exhibitors may not smoke tobacco related products or use vaping paraphernalia on the property where the event is being held, unless there is a designated smoking area, or bring alcoholic beverages to the event. 
  9. Any Exhibiter who is selling or providing food must provide a health department license or Department of Business and Regulation or Florida Department of Agriculture and Consumer Services event food handling license and certificate of insurance showing proof of liability insurance in the amount of $1,000,000 per occurrence and $1,000,000 in the aggregate.
  10. Any Exhibitor who is selling a product or service shall only provide information about the product or service and pricing for same and may answer any direct questions.  There shall be no high-pressure sales.  
  11. Any Exhibitor selling a product or service at the event is responsible for its own sales tax collection and reporting.  
  12. Exhibitors may not sell any product or service that may be illegal or offensive to the general public.  
  13. Any non-profit exhibitor may be required to submit a copy of Florida Department of Revenue Consumer Certificate of Exemption.
  14. No Exhibitor may use a loud speaker or megaphone at their space, or play loud music.  
  15. Exhibitor agrees to hold harmless and indemnify Pasco-Hernando State College and its agents (as applicable), from all claims, liabilities, damages, judgments, demands, actions, attorney's fees, costs and expenses based on or arising out of any acts, errors, omissions, faults, or negligence which may be asserted against, imposed, or incurred by the Exhibitor while performing services at the PHSC event.  
  16. Exhibitors agree to indemnify, defend and hold harmless Pasco-Hernando State College and any of its sponsors, employees/volunteers and agents from any loss, theft, damage or injury to any person or property taking part at the PHSC event. 
  17. Exhibitors may be required to provide a Certificate of Insurance to prove current insurance coverage for the Exhibitor. If requested by PHSC, the Certificate of Insurance should have limits of $1,000,000 per occurrence and $1,000,000 in the aggregate for general liability. 
  18. Exhibitors will be required to sign a Waiver of Liability on the day of the event.

PHSC has the right to expel any Exhibitor from the event that is not in compliance with the terms and conditions

Pasco-Hernando State College Waiver and Release from Liability Form

I, [webform_submission:values:name] (Name of Exhibitor), hereby waive and release, indemnify, hold harmless and forever discharge Pasco-Hernando State College (“released party”) and its agents, employees, officers, and agents, of and from any and all claims, demands, debts, contracts, expenses, causes of action, lawsuits, damages, and liabilities, of every kind of nature, whether known or unknown, in law or equity, that I ever had or may have, arising from or in any way related to my participation, in any of the events or activities conducted by or on the premises of, or for the benefit of Pasco-Hernando State College.

By this waiver I assume any risk, and take full responsibility and waive any claims of personal injury or death or damage to personal property associated with my involvement in any event affiliated with the aforementioned released party.

By my signature on this document I assume all responsibility for any personal injury, death, or damages to property that may occur while I am participating in any activity associated with any event. I sign this document on my own accord and not under any duress or threat of duress, without inducement, or harassment. I understand that by signing this waiver I relinquish any right or future right to seek damages against Pasco-Hernando State College for any harm, personal injury, death, or property damage that may occur while I am participating in authorized Pasco-Hernando State College events, activities or engagements.

I, being 18 years or older, hereby consent to any video and/or audio recording made of my voice, photographic images, and/or recording in which I appear, arising from or in any way related to my participation in any of the events or activities conducted by or on the premises of, or for the benefit of Pasco-Hernando State College. Furthermore, I hereby consent that such photographs, video and/or audio recordings shall be the property of Pasco-Hernando State College and they shall have the right to duplicate, reproduce and make other lawful uses of such photographs, video and/or audio recordings.
